Business cash control: 1 drawer vs 3 drawers A simple way to stop spending money your business needs

One big bank balance can make all your cash look available. Separating money by purpose gives you much clearer boundaries.

This simple 3-account approach gives business owners better business cash control by separating money according to its purpose.

1 drawer

Everything mixed together

Sales come in. Suppliers get paid. Salaries come out. The owner takes money out. Everything sits in the same account.

3 drawers

Every dollar has a purpose

Income comes in first. Operating money is separated. Profit is deliberately protected instead of waiting to see what is left.

The 1-drawer problem

Imagine there is $100,000 in your business bank account.

It is easy to think: “I have $100,000.”

But some of that money may be needed for next month's operating costs. Some should be protected as profit. Some may already be committed.

When everything is mixed together, your bank balance can make you feel richer than the business really is.

What if you used 3 drawers instead?

1. Income

Money collected comes in here first.

2. Operating

Money available to run the business goes here.

3. Profit

Profit is protected instead of becoming whatever is left over.

Instead of asking: “How much cash do I have?”

You can ask: “How much is actually safe to spend?”

Why the 3-account system works

The 3 accounts do not magically make a business profitable.

They create boundaries.

If your Operating drawer keeps running short, that tells you something needs attention. Costs may be too high. Customers may be paying too slowly. Margins may be too low. Pricing may need work.

1 big bank balance can hide the problem.

3 drawers make the problem easier to see.

But how much goes into each drawer?

This is the important part.

The system is not simply about opening 3 bank accounts. You need to decide how much your business can afford to allocate to Operating and Profit.

Your accounting numbers should help you set sensible targets and adjust them as the business changes.

The bank accounts create the discipline.

The numbers guide the decisions.

Start simple

Ask yourself:

“If my business money were sitting in separate drawers, how much of today's bank balance would really belong in the Operating drawer?”

If you cannot answer that confidently, your bank balance may be giving you less clarity than you think.

Cash in the bank ≠ safe to spend.

Profit is planned, not leftover.
