Xero PSG Vendor Checklist: What To Compare Before You Sign

A Xero PSG vendor checklist helps an SME compare more than the quotation and expected grant support.

The real question is what your business will receive after implementation: a suitable Xero setup, reliable workflows, practical training and enough support to keep the system working.

PSG support is subject to eligibility, approval and the prevailing programme conditions.

  • The exact vendor and solution package in the official directory.
  • The implementation scope covered by the listed package.
  • The project price and eligible cost stated in the quotation.
  • Which optional services must be paid separately.
  • That the quotation is addressed to the correct legal entity.
  • That no contract is signed and no payment or deposit is made before application submission.
  • That the company will submit and manage its own application through the Business Grants Portal.
Do not rely only on a vendor’s statement that the package is “PSG approved.” Check that the exact quotation matches the official solution, vendor and scope.

4. GST Configuration

For a GST-registered business, common transactions should be configured and tested.

  • Registration details and effective date.
  • Sales and purchase tax defaults.
  • Deposits, refunds and credit notes.
  • Imports or overseas services where relevant.
  • Responsibilities for GST review and filing.

5. Practical Training

Training should match what each user needs to do after handover.

  • Who will be trained?
  • How many sessions are included?
  • Will your own workflows be used?
  • Are recordings or guides provided?
  • What tasks should users perform independently?

6. Post-Go-Live Support

Confirm what happens when the business begins using real transactions.

  • Length of the support period.
  • Communication channel.
  • Expected response time.
  • Number of support sessions.

7. Reports And Owner Review

The owner should understand what reports will be available and when they can be relied on.

  • Profit and loss.
  • Balance sheet.
  • Outstanding customer invoices.

8. Responsibilities And Exclusions

Vague responsibility creates delays and disagreement.

Ask what information the vendor will provide after implementation.

  • Claim responsibilities retained by your company.

What “Support” Actually Means

Support can mean very different things between vendors.

One package may include help using Xero’s features. Another may include workflow troubleshooting or corrections connected to the implementation.

Basic software support may not include:

  • Correcting bookkeeping entries.
  • Reviewing GST treatment.
  • Changing the chart of accounts.
  • Interpreting financial reports.

Should I select the vendor with the lowest price?
Not automatically. Compare the written implementation scope, migration, training, support and exclusions. A cheaper proposal may cost more later if important work is missing.
Does PSG approval guarantee the implementation will suit my business?
No. Grant support and vendor selection are separate considerations. Your business should still review whether the package scope, workflow and support fit its actual needs.
Can I pay a deposit before applying?
No payment or deposit should be made before submitting the PSG application. Check the latest official conditions before signing or paying the vendor.
Can the vendor submit the PSG application for my company?
The applicant business is responsible for its application through the Business Grants Portal. The vendor may provide the relevant quotation and solution information but should not manage the application on the company’s behalf.
Does migration include all my historical transactions?
Not necessarily. Some packages include only opening balances, contacts and outstanding invoices or bills. Ask for the exact migration scope in writing.
Should the vendor give me a weekly owner routine?
Operational work may happen throughout the month. The owner should understand when the records are ready and what to review during monthly Money Day. Weekly checks may still be needed when transaction volume or cash pressure requires them.
